Getting Started: Engagement Letters
Your First Step Toward a Smooth Tax Season
Your engagement letter is the green light that allows us to begin preparing your return. It outlines your services, mutual responsibilities, and your fee for tax preparation.
You’ll receive your engagement letter through SafeSend in mid-November. Review it carefully and sign electronically when you’re ready, no printing or scanning required.
Once your letter is signed, you’ll receive a scheduling link in January to book your document drop-off. This helps our team plan your return efficiently and keep everything on schedule.

You can submit your tax documents in whatever way works best for you. Most clients use SafeSend, our secure, all-in-one system for uploading and managing files.

You’re always welcome to bring your documents to your nearest TRPG office during business hours.

You can choose the date that works best for you, whether you plan to upload through SafeSend, mail, or drop off in person.

During Tax Season
What to Expect Once Your Return Begins
Once your scheduled document drop-off date arrives, our team begins preparing your return. From there, you’ll receive email updates and notifications through SafeSend to keep you informed every step of the way.
What Happens Next
- Document Review: We review everything you’ve provided to confirm we have what we need.
- Preparation & Review: Your Tax Advisor and Coordinator work together to prepare your return.
- Questions or Missing Info: If anything is unclear or additional documents are needed, we’ll reach out right away by email.
- Quality Review: Before sending your return for signature, our team completes a detailed review to ensure accuracy.
Understanding Extensions
If your return cannot be completed by the April deadline, we’ll file an extension on your behalf to allow additional time for completion. Extensions are common and nothing to worry about; they simply give us more time to prepare your return accurately.

- You’ll still need to pay any estimated tax due by April 15 to avoid penalties or interest.
- Once extended, your return will be finalized as soon as possible after the filing deadline.
After Your Tax Return Is Completed
What to Expect Once Your Return is Finalized
When your return is complete, you’ll receive an email from SafeSend with your finalized documents and signature forms. From there, you can review, sign, and download your completed return.
Final Steps
- Review Your Return: Take a moment to review your completed return in SafeSend.
- E-Sign Your Forms: Sign your authorization forms electronically so we can file your return.
- Confirmation: Once signed, we’ll submit your return and send a confirmation email when it’s filed.
If payment is due with your return, instructions will be included in your SafeSend package.
After Filing
Once your return is submitted, our team conducts a final review to confirm everything has been processed correctly. If there’s anything you need to know, such as IRS updates or additional information requests, we’ll reach out promptly.
